JOB PURPOSE

As a Materials Coordinator I, you play a pivotal role in facilitating the smooth flow of materials within an organization.

KEY ACCOUNTABILITIES

1. Inventory Management: Assist in managing inventory levels by monitoring stock levels, conducting regular stock checks, and updating inventory records. Coordinate with procurement and warehouse teams to ensure adequate stock levels to support operational needs.
2. Material Receiving and Inspection: Receive incoming shipments of materials, verify quantities, quality, and documentation against purchase orders or delivery notes. Inspect materials for damage, defects, or discrepancies and report any issues to the appropriate stakeholders.
3. Material Issue and Distribution: Process internal requisitions for materials, picking items from inventory, and preparing them for distribution to the appropriate departments or work areas. Ensure accurate documentation and timely delivery of materials to end-users.
4. Vendor Coordination: Communicate with vendors and suppliers to track order status, resolve delivery discrepancies, and coordinate returns or replacements as needed. Build and maintain positive relationships with suppliers to ensure timely and efficient procurement of materials.
5. Inventory Control: Assist in implementing inventory control measures to optimize stock levels, minimize stockouts, and prevent excess inventory. Utilize inventory management software or systems to track material movements, conduct cycle counts, and reconcile inventory discrepancies.
6. Documentation and Reporting: Maintain accurate and up-to-date records of inventory transactions, including receipts, issuances, transfers, and adjustments. Generate reports on inventory levels, stock movements, and material usage as required by management.
7. Material Handling: Collaborate with warehouse personnel to ensure proper handling, storage, and organization of materials in the warehouse or storage areas. Follow safety protocols and procedures when handling materials and operating material handling equipment.
8. Compliance and Quality Assurance: Ensure compliance with internal policies, procedures, and regulatory requirements governing material handling, storage, and distribution. Adhere to quality assurance standards to maintain the integrity and quality of materials.
9. Problem-solving and Issue Resolution: Identify and resolve issues related to material availability, procurement delays, or inventory discrepancies in a timely manner. Collaborate with cross-functional teams to address root causes and implement corrective actions.
