KEY ACCOUNTABILITIES

Maintaining Document Control Procedure.

To establish and maintain a library archive system for the Asset Management. ·

To maintain documented information in the internal SEB Group portal applications (Sharepoint, TMS, Synergi, TM Master, etc)·

To maintain company’s reference registration number. ·

To monitor document registration and keep record of document movement. ·

To manage day-to-day company operations and Asset documentation. ·

To assist as and when required on matters relating to project documentation. ·

Archiving document for offshore/ onshore for project. ·

Maintaining Company’s database. ·

Managing Incoming and outgoing correspondence. ·

Assist with the development, review, revision, distribution, implementation, and maintenance of quality control documents.

Develop standard and/or customized views, tools, templates, and workflows.

Assist with process improvement initiatives

Assist team with control documents navigation, metadata completion, and workflow assignments

Assist with Quality Control Documents release and access coordination for external users

Assist with corrective and preventive action processing and tracking

Provide support for internal and external audits and inspections as assigned

Support the maintenance and improvement of the Quality Management System

Reviews, analyzes, and reports on quality discrepancies related to processes

Developing processes to collect data needed to define the metrics for tracking and measuring quality results 

Assist in compiling data for environment reporting and analysis related

Assist in Fuel Management Data collection

Assist Marine Compliance Manager as and where required

 

JOB PURPOSE

To assist Marine Compliance Departments. · To assist HSE department in man hour data. · To assist Operations department on audit documentation. · To assist minor office administrative work.

QUALIFICATIONS / CERTIFICATIONS

Diploma or Degree in Record Management/ Informative Technology/ Engineering/ Business Management

RELEVANT EXPERIENCE

Minimum 5 years working experience in project or corporate document control.
Proficient in English, strong communication, interpersonal & organisational skills. ·
Self-motivated and able to work independently ·
Software and Computer literate. ·
Excellent in Microsoft Office program. ·
Familiar with PDF Software ·
Familiar with ISO:9001
Familiar with Power BI is an added advantage
